Manages all daily deposit operational processes to minimize risk to the Bank and its customers.  Ensure that Bank transactions are completed efficiently and accurately while complying with appropriate internal controls, NACHA Rules, the South Carolina UCC, and the FRB rules and regulations. Provides expert support for all functions of deposit reviews, such as check adjustments, returns, and exceptions processes.

GENERAL DUTIES

  • Review and ensure appropriate compliance levels for all legal and regulatory policies. in order to reduce fraud.
    • Adhere to operational controls, including applicable laws, rules, regulations and policies such as the Bank Secrecy Act (BSA) and Office of Foreign Assets Controls (OAC), NACHA Rules, the South Carolina UCC, and the FRB to ensure the safety and soundness of the Bank and its customers
    • Ensures proper notification is provided to the customer for all account holds per Reg CC guidelines.
  • Meet and maintain production and quality standards as set by work type and process. Respond to requests of operations managers and work to resolve less complex issues before taking to a manager.
  • Manage the following deposit operational functions:
    • Creation of new users in Retail Online Banking and Grand Access Online Banking
    • Work directly with bank customers (via use of technology) to set up and train on all Electronic Banking services including Grand Access Online Banking, Wire Manager, ACH Manager, Remote Image Deposit, and Positive Pay programs
    • Tier 2 support for customer issues related to all Electronic Banking services
    • Will actively participate on team to review, test, install and train any new services or updates to existing services 
    • Will coordinate and assist with annual risk assessments and audits of customers as required by various regulations and best practices
    • Non-post, EFT and ACH disputes, large item review, duplicate items, dormant accounts, holds and stop payments review, bookkeeping, research, verification of proper authorization 
    • Ensure that all cases are resolved and comply with industry regulations and bank procedures.
    • Use multiple systems and research tools to identify appropriate resolutions for suspended RDIs. Resolution may involve charging the item back to an account holder or returning the item to an outside financial institution.
    • Responsible for monitoring and addressing all non-post, stop pays, positive pay or NSF items, and chargebacks on a daily basis.
    • Research and resolve exception items suspended by the processing team, which includes making pay/return decisions for suspect items and identifying the correct accounts for non-post items. Investigate and resolve research and adjustment inquiries within the bank's practices and procedures, Reg CC guidelines, and NACHA rules.  
    • Review checks for negotiability utilizing deposit review guidelines.
    • Reconcile return check files exchanged with other banks.
    • Lead fraudulent funds recovery efforts.  Determine what type of recovery actions are required.
    • Create customer account adjustments due to processing errors on behalf of our bank or a forward clearing bank.  Initiate fee refunds.
    • Research rejected payments and repair transactions in order to ensure proper posting.
    • Post financial entries to clear deposit system rejects daily. Research and resolve outstanding items on the suspense account.
    • Balance several General Ledger accounts on a daily basis to ensure accurate processing of work.  Verify that refunds and charge-offs are reflected in GL transactions.
    • Process daily account maintenance requests in accordance with Bank policy and file properly, such as address changes.
    • Review and mail account notices and account statements, such as End of Year information; create a duplicate and corrected tax forms.
    • Process ODP letters and reviewing deficit balances.  Determine what needs to be charged off.
    • Process dormant accounts.  Review report and make contact, reactivate or send notice.
    • Reviewing duplicate item report.
    • Ordering supplies and currency for branches. 
    • Process incoming, outgoing, qualified and large dollar return items.
    • Process and verify incoming/outgoing wires.  Apply appropriate procedures and fees for international versus domestic wires. Responsible for verifying that signatures on all wires are in compliance with Bank policy.  Transact daily wire closing activities. 
    • Process incoming requests (i.e. tax levies, garnishments and bankruptcy requests) from various sources (government entities, court action, attorneys, branches).  Resolve IRS issues. Process tax adjustments and corrections.
    • Process Iolta remittance, sending the correct amount to SC BAR.
    • Responsible for processing foreign items and foreign check collection
    • Process savings bonds.
    • Responsible for handling returned mail and consequent system updates.
    • Responsible for Unclaimed funds escheatment
    • Responsible for all debit card matters including but not limited to ordering debit cards; maintenance, hot cards, and pin reorders;
    • Responsible for handling all ATM matters including but not limited to maintenance and disputes.
    • Responsible for monitoring and processing new account documents and handling account exceptions.  Verify new account information and scan documents. 
  • Manage relationships with other areas of the bank to ensure optimal customer satisfaction.  Work cross-functionally with banking partners and external agents to esolve issues.
    • Provide support and/or direction to our business partners regarding research items.
    • Respond within established service level timeframe to requests by management, customers, and other financial institutions for the status of the case, clarification of why the adjustment was made, or for supporting documentation.
  • Participate in ongoing professional / educational development opportunities in order to stay current on lending standards, products, initiatives, and trends.
    • Remain current on and adhere to all regulatory requirements and training.
  • Confer with management on more complex issues.
  • Perform other duties as assigned.

WORK EXPERIENCE REQUIREMENTS

  • 1-2 years financial operational experience or related work experience in bookkeeping or accounting
  • Current deposit operations knowledge and background preferred, including knowledge of financial operations and electronic banking functions. 
  • Working knowledge of banking and regulatory policies that impact a deposit operations department. 
  • Able to read, interpret and apply applicable laws, rules, regulations and/or policies and procedures.
  • Excellent decision-making, analytical, and problem-solving skills. 
  • Must be PC literate with proficiency in MS applications and operations systems.
  • Excellent time management and organization skills. 
  • Excellent listening and verbal and written communication skills and the ability to interact professionally in a collaborative environment with a diverse group of internal and external contacts.
  • Ability to prioritize and handle multiple assignments concurrently.
  • High attention to detail. Ability to maintain/organize accurate case files.
  • Ability to learn products, services and procedures of banking operations, financial industry, and regulatory systems quickly and accurately to meet policy and regulatory requirements
  • Ability to comprehend and adhere to all Federal and State banking regulations including compliance with the bank's Bank Secrecy Act/Anti-Money Laundering (BSA/AML) program.
